The type of personal information we collect

We currently collect and process the following information:

Personal identifiers, contacts and characteristics. Such as your first name, last name, phone number, postal address, email address, date of birth, some of which will depend on the features you use and because we are legally bound to request certain information for guests over the age of 16.
Identity Verification and Payment Information. Such as images of your government issued ID (as permitted by applicable laws), your ID number or other verification information, bank account or payment account information.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

Making a reservation for a holiday home that we manage via our website, Booking.com, AirBnB, VRBO and their associate portals.

We also receive personal information indirectly, from the following sources for the same scenario:

Payment Transaction Information. Such as payment instrument used, date and time, payment amount, payment instrument expiration date and billing postcode, PayPal email address, IBAN information, your address, and other related transaction details.

Referrals and co-travellers such as a co-traveller on a trip, the person who invited you can submit personal information about you such as your email address or other contact information.

We use the information that you have given us in order to:

Process your requests
Enable you to make a reservation
Make and receive payments
Enable you to communicate with us
Send you messages, updates and account notifications
Host Service Providers such as cleaning services to help manage or deliver their services to share information about the Guest (like check-in and check-out dates) with such third-party service providers.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting karen@thistlepropertymanagement.co.uk

(b) We have a contractual obligation.

(d) We have a vital interest.

How we store your personal information

Your information is securely stored. You can request that your personal information be deleted.

We may retain your information as necessary for: such as prevention of money laundering, fraud detection and prevention, and enhancing safety

We may retain and use your personal information to the extent necessary to comply with our legal obligations for example information for tax, legal reporting, and auditing obligations.

Information you have shared with others (e.g., Reviews) Some copies of your information (e.g., log records) will remain in our database, but are disassociated from personal identifiers.

Because we take measures to protect data from accidental or malicious loss and destruction, residual copies of your personal information may not be removed from our backup systems for a limited period of time.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
